Shipping & Delivery Policy
LED display systems are large, fragile, and often cross borders. This policy explains how we ship, what Incoterms apply, when risk transfers, and how we handle damaged or lost shipments — so you know exactly what to expect from factory gate to venue floor.
Overview
This Shipping & Delivery Policy explains how GOB Sports Solutions handles the transport of LED display systems from our factory to your venue. It covers freight methods, delivery timelines, customs responsibilities, risk transfer, and damage claims.
It should be read together with our Terms & Conditions and Refund & Returns Policy.
Shipping Methods
We select the shipping method based on your order size, delivery destination, and timeline. The three standard options are:
- Sea Freight (FCL / LCL): most cost-effective for large stadium orders and heavy cabinet shipments. Best suited to non-urgent projects.
- Air Freight: faster than sea, suitable for medium-sized orders or projects with tight deadlines.
- Express Courier (DHL / FedEx / UPS): for spare parts, samples, and small accessories. Not practical for full display systems.
Production & Delivery Time
Total delivery time = production lead time + shipping time. Both depend on the size and destination of your project.
- Production lead time: typically 4–6 weeks for custom stadium display systems, starting from the date the deposit is received and drawings are approved.
- Shipping time — sea: approximately 3–5 weeks to most destinations, depending on route and port congestion.
- Shipping time — air: approximately 5–10 days door-to-door.
- Total: a typical end-to-end timeline is 10–12 weeks from signature to site delivery.
Timelines may extend for very large projects, remote destinations, or during peak season. We will notify you in advance if any delay is anticipated.
Shipping Costs & Incoterms
Shipping costs are quoted based on weight, volume, route, and the Incoterm agreed in the order confirmation. Unless otherwise stated, our standard terms are FOB or CIF.
- FOB (Free On Board): we deliver to the port of departure. The client arranges and pays for international freight, insurance, and import clearance.
- CIF (Cost, Insurance, Freight): we arrange and pay for the international freight and insurance to the destination port. The client still handles import clearance.
- DDP / DAP: available on request for clients who need door-to-door delivery, including import duties. Price quoted per project.
Risk Transfer
Risk of loss or damage transfers from GOB Sports Solutions to the client at the point defined by the agreed Incoterm.
- Under FOB: risk transfers when the shipment is loaded on board at the port of departure.
- Under CIF: risk transfers at the same point (loading), even though we arrange freight and insurance to destination.
- Under DAP / DDP: risk transfers when the shipment is delivered to the agreed destination address.
Damaged or Lost Shipments
We pack our shipments to withstand international freight. If a problem occurs, the following steps apply:
- Inspect immediately: inspect the shipment at delivery, before signing the carrier’s delivery receipt where possible.
- Document the issue: photograph the packaging, the carrier’s label, and the damaged items before unpacking further.
- Report the carrier: notify the carrier in writing of any visible damage or shortage at the time of delivery.
- Contact us within 7 days: email the documentation to project@soarapex.com so we can assist with the claim.
Order Tracking
Once your order ships, we provide the following tracking information:
- Bill of Lading (B/L) for sea freight, or Airway Bill (AWB) for air freight.
- Carrier tracking number for express shipments.
- Shipping documents including commercial invoice, packing list, and any certificates required for import clearance.
For project shipments, our project manager also tracks the shipment until delivery and coordinates with your customs broker where needed.
